Position Title Head Operations and Growth
Location Bengaluru, Karnataka (with periodic travel to Mysuru and other GRAAM sites)
Reports To Executive Director
Team Managed Operations, Administration, HR, Communications, and Finance-support functions (span of team detailed below)
Nature of Role Senior leadership role with full ownership of organization-wide operations and communications – positioned at GRAAM as “Head – Operations.”

Position Summary

The Head – Operations is GRAAM’s senior-most operations leader, responsible for the organization’s overall administrative, financial, HR, and communications backbone. Reporting directly to the Executive Director, the incumbent operates as a strategic partner to leadership — translating organizational strategy into operational plans, and ensuring GRAAM’s people, systems, compliance, and external-facing communications run efficiently, professionally, and in a manner that protects and strengthens the organization’s reputation. The incumbent leads the Operations vertical end-to-end and holds overall accountability for how the organization presents itself internally and externally — including branding, publications, media, and digital communications — while working closely with programme, finance, and fundraising teams to ensure cohesion across the organization.

Eligibility Criteria

Qualification

  • Master’s degree in Operations Management, Management, Business Administration, Commerce and Social Sciences or in a related field from a reputed institution.
  • Priority : Master’s degree as above with a minimum of 10 years’ progressive experience in Operations, HR, Administration, or General Management, including at least 3–4 years in a senior leadership capacity overseeing multiple functions.

Core Competencies

  • Proven ability to lead and be accountable for multiple functions simultaneously — operations, HR, finance-support, and communications — at an organizational (not just departmental) level.
  • Strong strategic and analytical thinking, with the ability to translate organizational goals into operational and communications plans.
  • Excellent verbal and written communication skills, including the ability to represent the organization to donors, media, government stakeholders, and the Board.
  • Demonstrated senior leadership experience — building, mentoring, and managing cross-functional teams and second-line managers.
  • Sound understanding of statutory/regulatory compliance applicable to non-profits (FCRA, labour law, tax, and related filings).
  • Ability to operate with significant autonomy, exercise judgment on behalf of the Executive Director, and manage competing priorities under pressure.

Computer / IT Skills

  • Advanced proficiency in MS Office (Word, Excel, PowerPoint) and Google Workspace.
  • Familiarity with HR/Finance/ERP software systems is an added advantage.
  • Working knowledge of website and social media platform management (direct or through oversight of a team/vendor).

Key Responsibilities

Strategic Leadership & Organizational Operations

  • Serve as the senior-most operations leader of GRAAM, functioning as a strategic advisor and thought-partner to the Executive Director on organization-wide decisions.
  • Own and drive the strategic planning, streamlining, and continuous improvement of all operational processes across the organization.
  • Translate organizational strategy, culture, and policy into actionable operating plans across all GRAAM offices and project sites.
  • Identify, assess, and mitigate organizational and operational risks; institute appropriate controls and contingency plans.
  • Oversee organization-wide asset management, general administration, and the effective functioning of all GRAAM offices (Bengaluru, Mysuru, and others).
  • Undertake periodic visits to GRAAM offices and project/field sites to review operational effectiveness.

Human Resources & People Management

  • Lead the end-to-end HR function — recruitment, onboarding, performance management, capacity building, and employee welfare — directly or through the HR/Operations team.
  • Ensure implementation of staff capacity-development programs and periodic (quarterly) performance appraisal cycles.
  • Institutionalize employee benefits, welfare measures, and a positive organizational culture.
  • Oversee preparation and review of project agreements, MoUs, contracts, and Terms of Reference.
  • Build and mentor a strong second line of operations leadership within the team.

Financial & Administrative Oversight

  • Oversee organizational financial management systems, controls, and annual budgeting in collaboration with Finance and programme heads.
  • Ensure timely statutory compliance across all applicable regulations (FCRA, tax, labour, and other filings).
  • Support donor financial reporting processes in coordination with the Finance team.
  • Drive budgeting discipline and cost control across operations and administration.

Organizational Communications & Brand Stewardship

  • Hold overall ownership and accountability for GRAAM’s communications function — including website, social media, digital presence, publications, and press/media engagement.
  • Oversee the organization’s branding and ensure consistent, professional external representation across all communication touchpoints.
  • Coordinate the design, printing, and dissemination of the Annual Report, newsletters, IEC materials, factsheets, and other publications, in collaboration with internal teams and external vendors.
  • Oversee media relations and coordinate press coverage of GRAAM’s activities and events.
  • Ensure regular development and updating of PR and communication assets (presentations, videos, brochures, factsheets).
  • Represent GRAAM at external forums, making organizational presentations to donors, government bodies, and other stakeholders as required.

Governance & Board Support

  • Support the Executive Director in preparing reports and materials required by the Board of Trustees.
  • Ensure timely distribution of Board materials and coordinate logistics for Board meetings (travel, venue, scheduling).
  • Draft agendas and minutes of Board meetings, and track action items for management follow-up.

Public Relations, Networking & Stakeholder Management

  • Build and sustain strong relationships with internal and external stakeholders — donors, government departments, vendors, and partner organizations.
  • Maintain and continually strengthen GRAAM’s organizational contacts database and external relationships.
  • Manage guest and dignitary visits to GRAAM offices and project sites.
  • Explore and support partnership-building opportunities that advance GRAAM’s strategic and resource-mobilization goals.

The Head – Operations leads the full Operations and Communications vertical, including (but not limited to):

  • Manager – Operations
  • Manager / Asst. Manager – Operations
  • Associate, Associate, and Executive – Operations
  • Communications team / designated communications personnel
  • Office Assistants (Mysuru and Bengaluru, including driver-cum-office-assistant roles)
  • Other team members added to the vertical from time to time
